Privacy Summary
VINE AI collects account, usage, and service-related information to provide and improve our recruiting pipeline Services. We use commercially reasonable safeguards to protect data. We share information with service providers and with our business customers who use the Services, and we may disclose information when required by law. Candidates should direct privacy requests to the hiring company using VINE AI.
This Privacy Policy describes how NewVine Employment Group, LLC and its parent companies, subsidiaries, affiliated entities, entities under common control, successors, and assigns (collectively, "VINE AI," "VINE," "Company," "we," "us") collect, use, disclose, and protect information when you visit our websites, use our services, or otherwise interact with us (collectively, the "Services"). This Privacy Policy is separate from our Terms (Master SaaS Service Agreement), which govern contractual use of the Services.

Scope and Who This Applies To
This Privacy Policy applies to:
- (a) visitors to our websites and pages where this Privacy Policy is posted;
- (b) customers, prospective customers, and their authorized users who access our Services; and
- (c) individuals who communicate with us (including via email, phone, web forms, or social platforms).
Important: VINE AI supports recruiting and talent pipeline activities for business customers. In many cases, the business customer (our Client) controls the purpose and manner of processing candidate-related information. Our handling of such information may be subject to contractual commitments to that Client.
Information We Collect
We may collect the following categories of information:
2.1 Information You Provide Directly
- Account and profile information (name, business email, job title, company name)
- Communications (messages, emails, support requests, feedback)
- Billing information (limited billing contact info; payment details are processed by our payment processor and are not stored in full by us)
- Service configuration inputs and preferences (workflows, role requirements, hiring criteria, outreach preferences)
2.2 Information Collected Automatically
- Device and usage information (IP address, browser type, device identifiers, operating system)
- Log data and analytics (pages viewed, features used, timestamps, referring URLs)
- Cookies and similar tracking technologies (see Section 7)
2.3 Candidate-Related Information (Provided by Clients or Collected on Their Behalf)
Depending on how a Client uses the Services, we may process candidate-related information such as:
- Name, contact details (e.g., email, phone, LinkedIn profile URL)
- Work history, education, skills, and publicly available professional information
- Communications and engagement information (e.g., whether a message was sent or responded to)
- Notes, evaluations, rankings, and interview-related feedback created by Client users
How We Use Information
We use information to:
- Provide, operate, and maintain the Services
- Create and manage accounts and authenticate users
- Process transactions and subscriptions
- Deliver support, respond to requests, and communicate about the Services
- Improve and develop features, performance, and user experience
- Monitor for security, fraud, abuse, and violations of our Terms
- Comply with legal obligations and enforce our agreements
- Create aggregated or de-identified analytics to improve our Services and business operations
How We Share Information
We do not sell personal information in the ordinary course of our business. We may share information in the following situations:
4.1 Service Providers
We share information with vendors who help us operate the Services (for example: hosting, analytics, customer support tools, communications tools, security providers, and payment processors). These providers are permitted to use information only to perform services for us.
4.2 With Clients and Authorized Users
Information submitted to the Services is accessible to the Client's authorized users. Candidate-related information processed on behalf of a Client may be shared back with that Client and its authorized users.
4.3 Legal and Safety
We may disclose information if we believe disclosure is necessary to:
- comply with law, legal process, or government requests;
- protect rights, property, or safety of Company, our users, candidates, or others;
- prevent fraud, security incidents, or abuse; or
- enforce our agreements and policies.
4.4 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to reasonable confidentiality protections.
Data Security
We maintain commercially reasonable administrative, technical, and physical safeguards designed to protect information. No method of transmission over the internet or method of electronic storage is completely secure. You are responsible for maintaining the confidentiality of your account credentials and limiting access to your devices and systems.
Data Retention
We retain information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may vary depending on the nature of the data, contractual commitments, and legitimate business needs. We may retain aggregated or de-identified information for longer periods.

We may use cookies, pixels, and similar technologies to:
- operate and secure the Services;
- remember preferences;
- analyze usage and performance; and
- improve marketing effectiveness.

8.1 Customer Accounts
If you are an authorized user of a Client, your account information may be managed by the Client. Contact your employer or the Client administrator for requests related to your user account.
8.2 Candidate Requests
If you are a candidate and your information is processed through a Client's use of the Services, you should direct privacy requests to the Client (the company you are applying to or communicating with). In some cases, we may assist the Client in responding where legally required and where feasible.
International Data Transfers
Our Services may be operated from and processed in the United States or other locations where our service providers maintain facilities. By using the Services, you understand that information may be processed and stored outside your state or country of residence.
Children's Privacy
The Services are not directed to children under 16, and we do not knowingly collect personal information from children.
Third-Party Links and Services
The Services may contain links to third-party websites or services. This Privacy Policy does not apply to those third parties. We encourage you to review their privacy practices.
Changes to This Privacy Policy
